Privacy & GDPR Policy
Privacy & GDPR is more than just the protection of one of more IT systems. It is a holistic approach encompassing IT systems, IMSHOF practices and responsibilities of the Executive Committee members with access to personal information.
This Privacy & GDPR Policy governs the way IMSHOF collects, uses, maintains, and discloses information collected from users. This information is collected by IMSHOF as follows: website, direct email, nomination forms, electronic messages, and video/audio plus in-person discussions. This policy applies to all collected information and electronic facilities storage mechanisms: website, email, electronic messages, video/audio, Google Drives, WhatsApp, and local hard drives.
Personally Identifiable Information (PII)
IMSHOF collect PII from users in a variety of ways as noted above. Users may be asked for name, email address, mailing address, phone number, date of birth and second contact information. Users may, however, visit IMSHOF electronic facilities anonymously (example the website and Facebook page). IMSHOF will collect PII from users only if they voluntarily submit such information to us. Users can always refuse to supply PII, except that it may prevent them from engaging in or being included in certain IMSHOF activities. IMSHOF defines PII as email address, mailing address, phone numbers, and additional individual contact information (example a spouse or child). Unless specifically requested (not to use) – name and date of birth are not considered to be PII and are shared (for example) through Facebook annual birthday greetings.
Non-PII
IMSHOF may collect non-PII about users whenever they interact with IMSHOF. Non-PII may include the browser name, the type of computer and technical information about users means of connection to IMSHOF electronic facilities, such as the operating system and the Internet service providers utilized and other similar information. Publicly available information about the user’s life and career (example marathon swim results) is not considered to be PII and is shared widely (examples Website and Google drive).
Web browser cookies
IMSHOF electronic facilities may use "cookies" to enhance user’s experience. User's web browser places cookies on their hard drive for record-keeping purposes and sometimes to track information about them. Users may choose to set their web browser to refuse cookies, or to alert you when cookies are being sent. If they do so, some parts of the IMSHOF electronic facilities may not function properly.
How IMSHOF use collected information
IMSHOF may collect and use users’ PII for the following purposes:

IMSHOF may collect and use users’ non-PII and publicly available information about the user’s life and career for the following purposes:
- To populate the IMSHOF Website, social media posts, and articles
IMSHOF does not collect financial information or process payments.
How IMSHOF protect user information
IMSHOF adopt appropriate data collection, storage and processing practices and security measures to protect against unauthorized access, alteration, disclosure or destruction of user’s personal information, username, password, transaction information and data stored on IMSHOF electronic facilities.
IMSHOF also stresses to Executive Committee members the requirement to protect PII which includes annual password changes and virus awareness.

Sharing user’s personal information
IMSHOF do not share, sell, trade, or rent user’s PII to others. IMSHOF may share generic aggregated demographic information not linked to any PII with IMSHOF business partners, trusted affiliates and advertisers for the purposes outlined above. IMSHOF may use third party service providers to help operate IMSHOF business, electronic facilities or administer activities on IMSHOF’s behalf.

Changes to this Privacy & GDPR Policy
IMSHOF has the discretion to update this Privacy & GDPR Policy at any time. The date at the bottom of this page will be changed to indicate updates. IMSHOF encourage users to frequently check this page for any changes to stay informed about how IMSHOF are helping to protect the user information IMSHOF collect. Users acknowledge and agree that it is their responsibility to review this Privacy & GDPR policy periodically and become aware of modifications.
User acceptance of these terms
By interacting with IMSHOF, users signify their acceptance of this policy. If a user does not agree with this policy, they should not interact with IMSHOF. A users continued interaction with and use of IMSHOF’s electronic facilities following the posting of changes to this policy will be deemed acceptance of those changes.
